Prove both furniture layouts

Show the tables, chairs, doors, screens and circulation in each configuration. Identify where surplus furniture goes and who changes the arrangement. A combined training room is not ready if half its chairs must be stored in a corridor.

Record how frequently the room will change. A system suited to occasional events may be inconvenient for daily changes. Test the operating sequence with the staff expected to use it, including the time needed to reset equipment.

Choose the system before fixing the ceiling detail

Make services work in each mode

Confirm lighting circuits, switching, temperature-control zones, ventilation, detection and other required systems with the relevant specialists. Each divided room needs an appropriate arrangement; combining rooms should not leave confusing controls or obstructed equipment.

Coordinate AV switching, camera views and microphone use with the meeting-room AV brief. Determine whether users need one combined system or two independent systems, and document how the transition is operated.

Include training and maintenance

Require installation checks and a demonstration using the completed finishes and furniture. Record the safe operating sequence, restrictions, service contacts and maintenance instructions. Staff should know when to stop and call the supplier rather than force a resistant panel.
